Cancellation & Refund
Clear terms covering consultation cancellations, service cancellations, refund eligibility, payment treatment and the timing of approved refunds.
Cancellation depends on where the service stands.
Cancellation and refund treatment depends on the stage of the service, whether work has started, whether any consultation has taken place, whether materials or design work have already been prepared, and whether the relevant service arrangement has already been completed.
Because design and consultation services can involve time reserved, project preparation and work created specifically for a client, not every cancellation will qualify for a refund. These terms explain how we assess different situations so that the position is clear before a cancellation is requested.

A cancellation request may qualify for a refund where no consultation, preparation or project work has started.
Amounts relating to work already completed or time already provided are generally not refundable.
Completed or substantially prepared bespoke design work may not be eligible for cancellation or refund.
Approved refunds are normally processed within 7 business days and may take additional time to appear with the payment provider or bank.
General Cancellation
If you no longer require a consultation or design service, please contact INSPIRO GRAPHIC as soon as possible. A cancellation request should be made through an official communication channel so that the request can be identified and reviewed against the relevant booking or service arrangement.
Cancellation is assessed according to the actual position of the service at the time the request is received. The fact that a client has not yet received a final file does not necessarily mean that no work has taken place. Preparation, research, consultation time, creative development and other agreed project work may already have been carried out.
Where a service has not started and no non-refundable cost or work has been incurred, a cancellation may generally be accepted without a charge, subject to the specific arrangement agreed for that service.
No consultation, project preparation or agreed creative work has started.
Some time, preparation, consultation or creative work has already been provided.
The agreed consultation or service has been completed or delivered.
Consultation Cancellation
Consultation bookings may be cancelled by contacting us before the agreed consultation time. Where the cancellation is received early enough for the appointment to be released and no consultation work or preparation has been provided, the consultation fee may be refundable where payment has already been made.
If the consultation has already taken place, the consultation service has been provided and the consultation fee is not refundable merely because the client later decides not to continue with further design work.
If a client does not attend a confirmed consultation without providing reasonable notice, the reserved appointment time may be treated as used. Where preparation or consultation time has been allocated to the booking, a refund may therefore not be available.
Service Cancellation
For design or branding services, cancellation treatment depends on whether work has begun and how much of the agreed service has already been completed.
A project may involve briefing, research, concept development, visual exploration, layout work, revisions, preparation of production files or other work before a final deliverable is supplied. These activities are considered part of the service even where the client has not yet received the final files.
If the project is cancelled after work has started, any refund will normally be limited to the portion of the payment relating to services that have not been provided, after taking account of work already completed and any agreed non-refundable costs.
When a Refund May Be Available
A refund may be available where the relevant service has not been provided and the cancellation is received before work has materially started. The exact amount depends on the service arrangement and any work or costs already incurred.
Refund consideration may include the following situations:
The client cancels before the consultation or agreed service begins and no substantial preparation or creative work has been carried out.
INSPIRO GRAPHIC is unable to provide the agreed service and no alternative arrangement is accepted.
A service has started but part of the agreed work remains entirely unprovided, allowing a refund assessment for the unused portion.
An amount has been paid above the amount properly due under the agreed service arrangement.
The same service amount has been paid more than once in error and the duplicate amount can be verified.
A refund has been specifically agreed in writing as part of the relevant service arrangement.
When a Refund Is Normally Not Available
A refund will normally not be available where the service has already been fully provided, where bespoke work has been completed specifically for the client, or where the cancellation relates only to a change of preference after agreed work has been supplied.
Where Work Has Already Started
Once a project has entered preparation or creative production, the position changes because time and resources may already have been used specifically for the client.
This can include reviewing a brief, preparing creative direction, researching visual references, creating concepts, producing layouts, preparing artwork, making agreed revisions or preparing final files.
If a project is cancelled at this stage, we may calculate any refund by considering the amount already paid, the work already completed, the proportion of the agreed service already delivered and any reasonable non-refundable costs that were agreed for the project.
Cancellation may qualify for a larger refund where the service has not started.
Refund assessment may account for briefing, research and preparation already completed.
Work completed during design development may be deducted from any refundable amount.
A completed service is normally not refundable simply because the client later changes their mind.
How to Request a Cancellation or Refund
Cancellation and refund requests should be sent to hello@inspirographic.com using the email address associated with the booking or service wherever possible.
To help us identify the relevant service quickly, include your name, the consultation or project details, the date of the booking, the amount paid where relevant and a short explanation of the cancellation or refund request.
Contact us through an official communication channel.
We check the booking, payment and work already provided.
We confirm whether a refund applies and, where relevant, the amount.
Approved refunds are processed according to the timing below.
Refund Processing & Arrival Time
Once a refund has been approved, we will normally process the refund within 7 business days from the date on which the refund decision has been confirmed.
The time required for the refunded amount to appear in the customer’s account depends on the payment method and the relevant bank or payment service. After the refund has been processed by us, the amount may take a further 3 to 10 business days to appear in the customer’s account.
This means that an approved refund will normally be expected to reach the customer’s account within approximately 10 to 17 business days from refund approval, although external processing delays may occasionally extend this period.
Cancellation or refund request received.
Booking, payment and work status checked.
Approved refund normally processed within 7 business days.
Bank or payment service may require another 3–10 business days.
Liability & Cancellation Exceptions
We will make reasonable efforts to manage cancellations, service changes and refunds fairly and in accordance with the agreed service arrangement. However, we cannot guarantee that every cancellation request will result in a full refund.
Refund decisions may depend on information supplied by the client, the actual stage of the service, work already completed, third-party costs and the specific terms communicated for the relevant service.
We are not responsible for delays caused by circumstances outside our reasonable control, including banking delays, payment-service delays, internet or communication failures, technical interruptions, third-party service failures or events that could not reasonably have been avoided.
Nothing in these terms excludes or limits any liability or statutory right that cannot lawfully be excluded or limited under applicable law.
Where work has already been carried out specifically for a client, the value of that work may be taken into account when determining any refundable amount.
